Board of Directors

The primary purpose of the Board of Directors is to elect the officers of the club annually who will run the club during their term of office. The Board of Directors shall consist of a five (5) member board. The board will have two (2) members who represent the interests of AZ Ice Arcadia, two (2) members who represent the interests of Mountain America Community Iceplex (MACI) and one (1) neutral member who has interests in both rinks or neither rink. Board members serve a two (2) year term and will be elected by the club membership. Candidates for the board of directors will have been club members for at least two years.

Board of Directors for 2023/24 Season

President: Rhiannon Galindo

It shall be the duty of the president to take charge of the club; to preside at all meetings of the club and of the Board of Directors. The president shall be responsible for the entire supervision and management of the club and its property, pending the action of the Board of Directors; have the power to suspend any member for violating the bylaws or regulations of the club, pending the approval of the Board; and may call special meetings.

Other specific duties include:

• Ensuring the club’s goals and mission are being supported by the board

Call Board Meetings, Set agendas

• Working with appropriate members to oversee the budget and club’s finances

​• Leading the board during and outside board meetings

Vice President: Melissa Schumacher

It shall be the duty of the vice president to assist the president in the discharge of his/her duties and in the president’s absence to assume his/her duties and officiate in his/her stead.

Other specific duties include:

• Lead board meetings if president is absent

​• Support the president in strategic planning

Treasurers: Hiroko Tsugawa & Michele Cunningham

Michele Cunningham manages deposits, payments & reimbursements

Hiroko Tsugawa manages checking account, financial statements and IRS reporting

The treasurer shall have charge of the funds of the club and shall keep a record of all receipts and disbursements and render a written report when requested by the president or Board of Directors.

Other specific duties include:

• Pay out reimbursements via Zelle or Check

• Keep online check register updated

• Make bank deposits and do all bank dealings

Transfer money from PayPal to club checking for membership, exhibitions, jacket logos, etc.

Have a Square credit card reader for your phone (from the club's Square account)

Pay USFS for club memberships and various expenses

• Coordinate with the Membership Chair to verify that members paid for the correct membership type

• Report to president and board on finances

• Be responsible for handling tax issue of club or for finding a resource to handle these issues

File & pay $10 to AZ Corp Commission on-line for annual report of club contacts 

File IRS form 990 E-Postcard annually (set up Secure ID registration process)

• Help in the budgeting process for the club and present to the board for approval

​• Attend board meetings and report monthly or quarterly

​Secretary: Open July 1, 2023

It shall be the duty of the secretary to keep the minutes of the meetings of the club and of the Board of Directors and supervise all reports.

Other specific duties include:

• Monitor Club email account and reply or forward emails as needed

Forward membership forms to Membership Chair

Forward lesson leads to skate directors

• Update Member Contact Information

Update address changes for club members in USFS database

Update email lists and send out club emails​

• Ensure that Club Bulletin Boards at both rinks are updated

• Reserve rooms for all meetings of the club and Board of Directors

• Make Flyers for Exhibitions, Shows, etc.

• Fill out USFS delegate form

​• Notify U.S. Figure Skating of club officer and board change

Membership Chair: Lyn McLaren

It shall be the responsibility of the membership chair to handle all applications for membership to the club.

Other specific duties include:

Maintain and update club Facebook/social media sites

Post pictures of members from tests and competitions

Distribute information to prospective members

Handle the yearly membership drive

Enter new and renewing members into USFS database

Verify that members paid the correct amount for their membership type

Notify Treasurer to pay for Pending Memberships

Webmaster/Social Media/E-mail List: Carolina Takahashi

The Webmaster, or Website Administrator, is responsible for maintaining the club website. Their duties include designing and maintaining the website.

Other specific duties include:

Work with the treasurer to purchase a domain name

Design and maintain the club website 

Set up payment links to club accounts on PayPal or Square on pages where payment is needed

Test online payment and forms to see if set up is correct

Review website monthly to see if updates are needed

Test Chair & Sanction Chair: Tim Totter

Assistant to the Test Chair: Jeannette Yarrow

It shall be the responsibility of the test chair for the planning, executing and reporting of each test session. It shall be the responsibility of the sanctions chair to ensure that events being sponsored by the club are sanctioned, if necessary. This includes competitions and performances. ​​

​Club Jacket Coordinator: Paige Vasquez

The Club Jacket Coordinator is responsible for having club logos embroidered on member's jackets.

Other specific duties include:

​Review club website to see if jacket ordering info is correct and notify webmaster of any changes needed

Determine the price to charge members for club logo embroidery 

Collect jackets from skaters and verify that logo payment was received by the treasurer

Attach the skater's first name on the front of each jacket with a safety pin 

Determine logo size needed (Logo is typically available in small, medium and large depending on jacket size)

Attach a logo order form to each jacket to specify the size of logo needed and first name on jacket

Drop/Pickup jackets at Jersey Joes in Tempe or vendor of your choice

Pay for logo embroidery with check or cash if using Jersey Joes

Get reimbursed by treasurer or have the treasurer write a check that you take to Jersey Joes when picking up jackets.

Consignment & Merchandise Program Coordinator: Open

Responsible to sell used skates on Saturdays during Learn to Skate at MACI and/or Arcadia and On-line via OfferUp and/or Facebook Marketplace.

May also sell other items such as group pictures from shows and exhibitions and new gloves and soakers (club has inventory of these items).

Other specific duties include:

Arrive at Saturday Learn to Skate 30-40 minutes before lessons start

Bring used skates, new gloves & soakers and group pictures with envelopes from home 

Set out skates on table with Sale Sign and red table cloth (supplies stored in pro shop)

Notice who is renting skates and see if any of our used skates might work for them (show skates to the parents)

Tip: remove the insole from the skate and have the skater stand on it to see if it might fit.

Sell skates: Take cash or credit cards via square reader (add 3% to sale price for credit card transactions)

Accept skates to sell: 

Fill out consignment form and attach a price tag to skates

Take picture of the skates to post online (OfferUp or Facebook Market Place)

Have webmaster update club website with skates, price, description

Track sales with Google Sheets and share access with Treasurer

Have Treasurer Pay consignors 85% of sale price

Return unsold items to owners after designated time period such as 60 days.

Skate Safe Compliance Chair: Tim Totter

​Ensures the club compliant with current SkateSafe policies and procedures, serves as the club’s primary SkateSafe contact for U.S. Figure Skating and oversees the implementation of educational programs for all club members, their parents/guardians and coaches. In addition, the SkateSafe Compliance Chair performs other functions as necessary to fulfill U.S. Figure Skating’s continuing efforts to foster a safe, healthy and positive environment for its members and all participants.

Junior Board:  

Positions can include president, vice president, treasurer, secretary, historian, and members-at-large.

​Specific Duties for Junior Board Members could include:

• Conduct monthly or quarterly meetings

• Organize and host club events: holiday parties, organize games and activities for the younger skaters during club events, recognize club skaters during Regionals, Sectionals, and Championships, etc.

• Charity events to support local organizations

• Create a mentor program through Learn to Skate USA and younger skaters

• Organize fundraisers for the club

• Maintain a club website page or Facebook site for Junior Board information, activities, and calendar
